What is a GST bill format?
A GST bill format is the layout a registered business uses to raise a tax invoice. It is not a generic receipt — the format must carry specific fields so your customer can claim input tax credit and so your returns reconcile. A good format is short, ordered and does not leave any mandatory field to memory.
The fields every GST bill format must include
- The heading "Tax Invoice"
- Your business name, address and GSTIN
- Customer name, address and GSTIN (for B2B)
- A unique, sequential invoice number and date
- HSN code (goods) or SAC code (services) per line
- Item description, quantity, rate and taxable value
- GST rate and the tax amount per line
- CGST + SGST or IGST summary and the grand total
- Place of supply and an authorised signature
A simple GST bill format for a retail shop
Retail shops need the same fields in a compact layout. Put the shop name and GSTIN at the top, keep item rows bold and scannable, show the taxable value and tax summary just above the total, and place a UPI QR code where the eye lands. That gives a simple GST bill format that is fast at the counter and still fully compliant.
How to create and download a free GST bill format
Rather than editing a spreadsheet every time, use a generator that already has the format built in. Enter your details once, add line items, and the tool produces a compliant GST bill with the CGST/SGST/IGST split calculated for you. You can then download it as a PDF or print it in seconds — free.
Common mistakes with a GST bill format
- Missing HSN/SAC codes, or using the wrong classification
- Breaking the invoice number sequence
- Applying CGST/SGST to an interstate sale instead of IGST
- Leaving out the place of supply on services
